Best Property Management Software 2026, by Owner Size
Every list for this search was written by a software company. Each one ranks itself first. This list was written by a software company too. We're Hemlane. We'll show you where we fit, where we don't, and how to choose without taking anyone's word for it. Ours included.
Most lists are built for management firms with hundreds of doors. Most owners don't look like that. So we sorted the picks by your situation: how many doors you own, how far you live from them, and how much time you have. Every competitor figure here comes from that vendor's own published pages. Vendors change prices and plans often, so check before you buy.
What is the best property management software in 2026?
No single tool wins for everyone. The best one fits your door count, your distance and your free time. A first rental can run on a free plan. A small do-it-yourself portfolio does fine on low-cost software. Large operators fit enterprise tools. Owners who want the 2 AM call handled need software plus people.
Start with one split. Software-only tools give you the app. You still do the work. Software-plus-service models add people who take some of that work off you. Decide which side you're on first. Then compare features.
Your situation | Pick | Type | Pricing model | Published price | Main weakness | Choose this if |
|---|---|---|---|---|---|---|
First rental | TurboTenant | Software only | Free core, paid upgrades | Free to sign up and use | Screening cost lands on applicants | You want to start at $0 and do the work yourself |
Small do-it-yourself portfolio | Avail Unlimited Plus | Software only | Per unit | $9 per unit per month | Cost climbs with every door | You have a few doors and want a clear per-door cost |
Growing portfolio on a budget | RentRedi | Software only | Flat rate | $12 a month billed annually, up to $29.95 billed monthly | Lowest rate means paying a year up front | You want one flat bill and can prepay |
Growing portfolio, up to 40 units | Buildium Essential | Software only | Tiered plans | Plan price: check Buildium. Incoming EFT: $2.35 each | Per-payment fee, no live phone support, capped at 40 units as of October 2026 | You're under 40 units and accept a per-payment fee |
50 units and up | AppFolio Core | Software only | Contact sales | 50-unit minimum and a minimum spend | Rules out smaller owners | You run 50+ units and want an enterprise platform |
Remote or short on time | Hemlane Essential or Complete | Software plus service | Per unit monthly after a 14-day trial | Essential $48/mo (incl. $28 platform fee). Complete $86/mo (incl. $28 platform fee) | Costs more than software-only tools. In-person services are add-ons | You want 24/7 repair coordination and local help without hiring a team |
First rental: TurboTenant or a free plan
TurboTenant is free to sign up and use. No upfront cost. No required subscription. That's a real way to start. The tradeoff is who pays for screening. TurboTenant says applicants pay $45 instead of $55 for screening reports when the owner is on its paid Essentials plan. The cost doesn't vanish. It moves to your applicants.
Our free Starter plan is the other option at this stage. It includes tenant screening, rental accounting and listing to major rental websites.
Choose this if you have one door, live nearby and don't mind doing the work.
Small do-it-yourself portfolio: Avail
Avail's Unlimited Plus plan is $9 per unit per month. Easy to forecast. But per-unit pricing grows with every door. Ten doors cost ten times one.
Choose this if you have a handful of doors and want a predictable per-door cost.
Growing portfolio on a budget: RentRedi
RentRedi charges a flat rate, not a price per door. It publishes three billing options: $29.95 a month billed monthly, $20 a month billed semi-annually, or $12 a month billed annually. The weakness sits in that spread. The lowest rate means paying for the year up front.
Choose this if you're adding doors, want one flat bill and can prepay.
Growing portfolio up to 40 units: Buildium Essential
Essential is Buildium's entry plan. Two limits matter. Buildium's own price calculator labels it "Up to 40 Units" and won't price it higher. And Buildium lists a fee of $2.35 per incoming EFT transaction. A fee on each payment looks small. Then you multiply it by every door, every month.
Choose this if you have fewer than 40 units and can live with a per-payment fee.
50 units and up: AppFolio
AppFolio's Core plan states a 50-unit minimum and a minimum spend, with pricing by contact. That rules out most small owners. It isn't a flaw. It's who the tool is built for.
Choose this if you run 50 or more units and want an enterprise platform.
Remote or short on time: Hemlane
We pair one platform with licensed local agents. The platform works in all 50 states. On our Essential and Complete plans, a 24/7 Repair Coordination team handles tenant requests after hours and on weekends. Complete adds optional access to a vetted repair network. Rent collection carries $0 ACH fees. We support over 20,000 rental properties in 4,418 cities. Users rate us 4.8 stars on Capterra, GetApp and Software Advice.
Our weakness is plain. We cost more per month than a software-only tool. In-person services like tenant placement and inspections are add-ons. If you like doing your own repairs and showings, you'd pay for help you won't use. You can see every plan and add-on on our pricing page, and see how local agents and the platform work together.
Choose this if you live far from your rentals, or your time is worth more than the monthly difference.

What factors matter most when choosing property management software?
Who does the work matters most. Next is the real first-year cost, fees included. Then whether you can reach a person, whether leases fit your state, how tenants pay, and how many tools you still need. That order is our view, from running rentals. It isn't an industry standard. Feature lists look alike. These factors don't.
- Who does the work. Software can send a work order. It can't answer a tenant at 2 AM. It can't open the door for a Saturday showing. On software-only tools, those jobs stay with you. On our free Starter and Basic plans, repair calls stay with you too. On Essential and Complete, our 24/7 Repair Coordination team picks up after hours and on weekends. Licensed local agents handle showings, inspections, key handoffs and local-court coordination. This ranks first because it decides your nights and weekends. See what 24/7 repair coordination covers. Ask the vendor: "Who answers a tenant's repair call at 2 AM, and which plan includes it?"
- The real first-year cost. Even AppFolio's own cost guide says the true price is the base subscription plus onboarding, payment processing, screening and add-on fees, counted over the whole first year. We agree. Take one fee. Buildium lists $2.35 per incoming EFT transaction. Multiply it by every door, every month. Over a year, that one fee line adds up. On Hemlane, rent collection has $0 ACH fees. 100% of late fees go directly to you. Repairs are invoiced and paid with no markups. Across our clients, that adds up to over $1.15 million a month saved compared to other solutions. Ask the vendor: "What will I pay in year one, every fee included, at my door count?"
- Support you can reach. When a payment fails on the 1st, a ticket queue feels slow. Buildium gives all customers ticket support. TurboTenant includes phone support only on its paid Essentials and Pro plans. Neither is wrong. Just know what your plan gets. Our Essential plan includes 24/7 emergency support, and Complete adds VIP support. Ask the vendor: "Can I reach a person by phone on my plan, and when?"
- Leases that fit your state. Lease rules differ by state. A generic lease can miss them. TurboTenant includes unlimited state-specific leases and addendums on its paid plans. Our Essential plan includes state-specific lease documents. Our lease tools build state-specific leases, collect e-signatures without DocuSign and send renewal reminders before a lease ends. Own in more than one state? Look at our lease management tools. Ask the vendor: "Are state-specific leases included on my plan, for every state I own in?"
- How your tenants pay. If paying rent is a hassle, or costs tenants money, rent shows up late. Some fees passed to tenants can also clash with state law. More on that in the red flags below. Check rent collection from the tenant's side before you pick. Ask the vendor: "What does a tenant pay to pay rent, and is there a free way to do it?"
- One platform or five. Five tools. Five logins. Five places for a payment or a repair note to go missing. One Hemlane account replaces five disconnected tools and five vendor relationships. Ask the vendor: "What will I still need a separate tool for?"
How do I choose property management software for my portfolio size?
Start with your door count, then adjust for distance and time. With a few doors, low cost and fast leasing matter most. Up to about 40, watch per-door pricing, payment fees and plan caps. At 50 and up, enterprise tools open to you. Far away or short on time? Add hands-on help at any size.
Most rentals look nothing like an enterprise customer. The U.S. Department of Housing and Urban Development reported from its 2021 survey that about 22 percent of small rental properties, with 1 to 4 units, were managed professionally. For properties with 150 or more units, it was 84 percent. The 2024 Rental Housing Finance Survey estimates that individual investors own about 59% of the country's rental properties, holding about 32% of its rental units. Lots of properties. Most of them small. Most small ones run by their owners.
Enterprise tools often aren't built for that owner. AppFolio's Core plan has a 50-unit minimum and a minimum spend. AppFolio's own cost guide notes that unit and spend minimums matter most for small portfolios. Its 2026 software roundup goes further. It says its platform may be more than strictly necessary for owners with fewer than 50 units. That's an honest line from a vendor. Take it at face value.
Pricing shape matters as you grow. Tiered pricing steps up with size: TurboTenant's Essentials tier runs $149 to $349 a year depending on portfolio size. Flat pricing holds still: RentRedi publishes flat monthly rates with no per-door charge. And entry plans can cap you: Buildium's Essential plan stops at 40 units.
Portfolio | What matters most | Pricing model that tends to win | Plan that fits | When to add hands-on help |
|---|---|---|---|---|
1 to 4 units | Filling vacancies fast and keeping cost low | Free, or a low per-unit price | A free plan with screening, accounting and listings | When one missed repair or empty month costs more than a paid plan |
5 to 40 units | Payment fees, accounting and your time | Flat or tiered pricing with low per-payment fees | A paid software plan, checked against entry-plan caps like Buildium's 40 units | When repairs and showings start eating your weekends |
50+ units | Scale, reporting and staff workflows | Enterprise plans, minimums included | An enterprise platform, or software plus service instead of new hires | When the next step would be hiring staff |
Any size, remote or short on time | Who handles the calls and visits you can't make | Software plus service | A plan with 24/7 repair coordination and access to local agents | From day one |
Distance and time count as much as doors. An owner with two units three states away has harder problems than an owner with ten units down the street. A free app doesn't drive to a showing.
Signs you've outgrown a free plan:
- A repair call came in at night, and you were the only one to take it.
- You drove hours for one showing, or lost a weekend to no-shows.
- Late rent turned into weeks of chasing.
- You now sign leases in more than one state.
- You pay for three tools that don't share data.
At a few doors, one empty unit hurts the most. Speed matters. We send one listing to Zillow, Apartments.com and other major rental sites. Hemlane handles portfolios from 1 to 2,000 units. Whether you manage one unit or 250, you get full-service operations without building a full team. Start on the free Starter plan. Move to Essential when you want a dedicated repair coordinator, 24/7 emergency support and state-specific lease documents. Complete adds a property management assistant, vetted repair network access and VIP support.

Which is better for owners, AppFolio or Buildium?
It depends on your unit count. AppFolio's Core plan requires 50 units and a minimum spend, so it suits larger operators. Buildium's Essential plan tops out at 40 units, so it suits smaller portfolios. Both are right for some owners. If you sit below both sweet spots, or live far from your rentals, look at a third option.
Credit first. AppFolio describes its focus as improved performance and AI-driven workflows. Buildium, in its own review of its rival, says AppFolio works best for mid-to-large management companies with 200 or more units, especially those mixing residential, commercial and community association portfolios. By both vendors' accounts, that's a big operator's tool. Buildium offers a free 14-day trial and gives every customer ticket support. A growing owner can try it before paying.
Now the fit problems, in each vendor's own terms. AppFolio says its platform may be more than an owner under 50 units needs. Buildium's Essential plan has no live phone support, charges $2.35 per incoming EFT and won't price above 40 units.
Factor | AppFolio | Buildium | Hemlane |
|---|---|---|---|
Best fit | Mid-to-large management companies with 200+ units, per Buildium | Smaller portfolios, on the Essential plan | Owners from one door up who want software plus people |
Minimum size | 50 units, plus a minimum spend | Essential plan priced up to 40 units only | One unit, up to 2,000 |
Pricing model | Contact AppFolio for details | Tiered plans | Free Starter. Paid plans per unit monthly |
Trial | Ask AppFolio | Free 14-day trial | Free Starter plan. Paid plans after a 14-day trial |
Support | Ask AppFolio | Ticket support for all. No live phone on Essential | 24/7 emergency support on Essential. VIP support on Complete |
Payment fees | Ask AppFolio | $2.35 per incoming EFT on Essential | $0 ACH fees |
Key weakness | May be more than owners under 50 units need, by AppFolio's own account | Unit cap and per-payment fee on Essential | Costs more than software-only tools. In-person services are add-ons |
Choose AppFolio if you run 50 or more units, have staff and want an enterprise platform.
Choose Buildium if you have up to 40 units, want a trial first, and are fine with ticket support and a per-payment fee.
Choose Hemlane if you're below both lines, live far from your rentals or want people handling repairs. Our plans start free, and the pricing page linked above lists every tier.
What are the red flags in a property management software contract?
The red flags are terms that cost you money or control after you sign. Watch for automatic renewals with notice windows, data you lose when you leave, forced annual prepayment, prices that change at renewal, support locked to higher tiers and fees pushed onto tenants. Find each one before you sign. Ask for answers in writing.
Here's why the contract matters so much. The FTC's Click-to-Cancel rule was meant to make canceling subscriptions easier. On July 8, 2025, a federal appeals court vacated it. So no federal click-to-cancel rule stands behind you. Your contract's own terms do the deciding. Read the renewal terms on day one, not the week they kick in.
Red flag | Ask the vendor | Why it matters |
|---|---|---|
Auto-renewal with a notice window | "When does my term renew, and how many days of written notice do I need to cancel?" | RealPage's screening license terms renew for another year unless written notice arrives at least 30 days before the term ends. Miss the window, pay another year. |
Cancellation steps | "How exactly do I cancel: online, by email or by letter?" | With no federal rule behind you, the contract sets the process. |
Short data export window | "How long can I export my data after I cancel, and in what format?" | Re-Leased lets customers export during the term and for 60 days after. Its terms also put the job of exporting on the customer. Your leases, ledgers and tax records live in there. |
Forced annual prepayment | "Can I pay monthly, and what does that cost?" | TurboTenant bills all Premium plans as one annual charge, with no month-to-month option. RentRedi charges $29.95 a month billed monthly versus $12 billed annually. Prepaying lowers the rate and raises the cost of leaving. |
Price change at renewal | "Can my price change at renewal, and how much notice will I get?" | Some vendors apply price updates at renewal. Know the new number before your notice window closes. |
Support gated by tier | "Which support channels come with my plan, and what happens if you restructure plans?" | TurboTenant includes phone support only on Essentials and Pro. When Buildium moved Core customers to its Essential plan, which has no live phone support, it kept phone support for those existing customers at their next renewal. Plans change. Get yours in writing. |
Fees pushed onto tenants | "What do applicants and tenants pay, and is there a no-cost way to pay rent?" | On TurboTenant's paid plan, applicants still pay $45 per screening report. In Colorado, HB25-1090 bans payment processing fees unless at least one no-cost option is reasonably available. Penalties include damages and 18% annual interest if a fee isn't refunded within 14 days of a tenant's demand. Other states differ. Check yours. |
Ask us the same questions. You should. We bill per unit monthly after a 14-day trial, with discounts if you choose annual billing. Rent collection has $0 ACH fees. 100% of late fees go directly to you. Repairs are invoiced and paid with no markups. For more hidden fees and setup mistakes to avoid, read our owner's guide to property management software costs.

Frequently Asked Questions
Do property management software companies offer free trials?
Many do, in three forms. Some offer a time-limited trial: Buildium offers a free 14-day trial. Some have a permanent free plan: TurboTenant is free to sign up and use. Some offer neither. RentSpree reports that RentRedi has no free plan or trial, but does offer a 30-day money-back guarantee. Our Starter plan is free and includes screening, rental accounting and listing to major rental websites. Our paid plans follow a 14-day trial. Before any trial, ask what happens on the day it ends.
How often should owners re-evaluate their property management software?
There's no standard interval. Two moments matter more than a calendar date: before your renewal notice window closes, and when your door count crosses a pricing band.
Inattention costs money. Research summarized by the National Bureau of Economic Research in 2023 put a number on it. Customers who don't cancel promptly raise sellers' revenue. The estimate is 14 to more than 200 percent. That's compared with everyone canceling once a subscription stopped being worth it. Prices move at renewal too. Buildium told annual-plan customers they'd see plan price updates at their next renewal date. Notice windows bite: RealPage's screening license needs written notice at least 30 days before it renews. And bands shift: TurboTenant's Essentials tier ranges from $149 to $349 a year depending on portfolio size. Put a reminder on your calendar well before each notice deadline, and review again whenever you add doors.
What property management software has the best reviews?
Read reviews from owners your size. A glowing rating from a large management firm tells a two-door owner little. Since October 21, 2024, the Federal Trade Commission's rule on consumer reviews and testimonials has addressed fake and deceptive reviews. That helps. It doesn't make every review genuine. Look for detail: what broke, who fixed it, how fast. Our users rate us 4.8 stars on Capterra, GetApp and Software Advice. We've completed 61,218 service requests, and users rate us 5 stars.
Pick the tool that fits your doors, your distance and your hours. Price it over a full year, fees included. Read the contract before you sign. Keep every decision yours. If you want software plus people taking the 2 AM call, that's what we built.
